New Product Updates on Web Version of Empulse

1. Add greeting cards and value badges in the comments section

Until last month, to appreciate someone using a greeting card and value badge, the user had to make a post out of it. Empuls now supports greeting cards and value badges even in the comments section.

Why is it important?

This feature helps maintain a single thread for appreciating a single person. Rather than posting appreciations separately, everyone can come together on a single thread and attach greeting and value badges. This also helps to see who all have appreciated and how.

Use Case:

If User A posts a birthday greeting on the feed for User B, other users who want to wish or congratulate the User B can now do so by attaching greeting cards in the comments section itself.

2. Tag users while sharing messages

Until now, the users could share links of posts with other users or on different groups. From now on, the users can now tag other users in the message box while sharing any post.

Why is it important?

The tagged users will be notified of the post making sure that they do not miss out on anything important to them.

Where can you find it?

Overflow Menu on the right side of a post -> Share -> Tag others in the message box

3. A new way to award points in Team Award

In team awards, there was only one provision for the division of a reward - the total reward is divided equally among all the team members.

Empuls has introduced a new method to distribute rewards for all members of an awarded team - the admin is given an option to decide how much they would like to award each member in a team rather than choosing one amount for the award.

Why is it important?

Every organisation has a different budget for rewarding. This feature helps each organisation choose what rewarding method suits them the best.

Use Case:

The Design team has won the Team of the Quarter award. There are 5 members on the team. The admin decides to reward each member with 500 points. This brings the total team award budget to 2500 points. The same admin, before the introduction of this feature, would have set a total budget of 3000 for the team award that would have been divided among 5 members.

4.  Introducing Employee ID field

Empuls has added a new field (non-mandatory) that allows the administrator to add an Employee ID of an employee.

Why is it important?

Employee ID is a unique identity given to every employee via which the organization can recognise the employees. Adding it to the system helps to filter out the employees easily.

Where can you find it?

Admin -> User Management -> Add sign on the top right -> Add Employee -> Employee ID

5. ‘Relationship to Nominator’ added to the nomination workflow for an award

When a user nominates someone for an award, there is an approval process that follows it. After the final approver approves the nomination, the award is sent to the nominee. Depending on the nomination workflow of each company, the approvers (Reporting Manager, Human Resource Manager, Department Head, etc.) are set and selected.

Previously, the selection of approvers was limited to the users related to the nominee. For example, while nominating an employee for an award (individual or team), the nomination gets approved by the reporting manager or HR manager or Department Head of the nominee. From now on, the administrator is provided with the additional option of aligning the nomination flow (the relationship and the hierarchy) with respect to the nominator i.e the reporting manager, Department Head and HR Manager of the nominator can be chosen as an approver of the awards.

Why is it important?

‘Relationship to Nominator’ is particularly helpful in situations where multiple people are nominated for an award and defining one single approver becomes a problem.

Use Case:

A user wants to create a team award for a group that had members from cross-functional teams - a product manager, designer, developers, testers and deployers. The challenge here is to select an approver since the reporting managers and Department Heads are different for each member of the team. The user can now select any one (an HR Head, for example) as the approver.

Where you can find it?

The nomination(s) can be approved by -> Specific User -> Relationship to Nominator

6. When the Nominator and Approver are the same, the process will automatically skip to the next level

While nominating an employee for an award, the award nomination flow requires approval by one or more approvers (managers, team leads etc.). The approvers can be related to the nominee or the nominator.

There are few instances where there is an overlap of the nominator and the approver. The new feature will intuitively recognise the overlap and remove all the repetitive steps for the nominator and take them to the steps that need to be taken by them as an approver.

Why is it important?

This feature helps saves time and extra actions for the nominator/approver. The nominator will be directly asked to approve the nomination.

Use Case:

A Department Head decides to nominate someone in their team. In this case, they will be the nominator and also the approver because hierarchically there is no one above them for the nominee. The system will recognise the Department head as an approver and as a next step, they will be asked to approve the nomination. What it means is that they will no more have to select themselves as an approver and then get another notification asking them to approve the nomination.

7. Supporting multiple date format

After uploading the CSV file of employee data using the Bulk Upload option, the next step is to map the custom fields (defined by the user in the CSV) as per the fields in Empuls. Initially, Empuls used to accept only one date format (DD-MM-YYYY) but now Empuls supports multiple formats like MM-DD-YYYY, YYYY-MM-DD, DD-MM-YYYY, etc.

Why is it important?

Empuls aims to better every user’s experience. Different organizations follow different date formats. To accommodate all the organizations, Empuls is now providing multiple date format for joining date and DOB during Bulk Upload of employees.

8. New Karma rule for Leaderboard

Users gain Karma whenever they receive comments on their post, however, from now on, they will lose the Karma if a comment or post is deleted at any instance of time. The number of points for these actions will be set by the administrator.

The purpose of Leaderboard is to promote positive behaviours among employees through interaction and engagement. The employees are rewarded with a non-monetary unit called Karma every time they participate in any of the set activities. The Karma of a user will increase as they engage more in the platform. The user with the highest Karma will top the Leaderboard.

The Karma is decided based on rules set up by the administrator. For example, for daily login via a web browser, the administrator assigns 5 Karma.

Why is it important?

This feature allows the user to undo an action. If someone commented on a post by mistake and later decides to delete it, the Karma that commentator and the post owner earned in the first place will be deducted.

9. Move points from the Special Purpose Budget outside the validity period

Empuls provides two types of budgets - General Budget & Special Purpose Budget.

Special Purpose Budget is reserved for rewarding employees on special occasions and has a validity period. This validity is set by the administrator and is optional. The default validity period is lifetime.

Earlier, beyond the validity period set by the administrator, the points would become unusable in the Special Purpose Budget. But now, the budget can be transferred to any other budget beyond the validity period.

Why is it important?

This will help the rewards administrators plan for the reward budgets and allocate them before the beginning of the reward cycle. Also, if there is a shortage of points in some other budget, it can be easily compensated through the Special Purpose Budget.

10. Live in-application progress page in the Bulk Upload option

For richer user experience, the bulk upload module has been updated with a live in-application progress feature page.

While importing a batch of bulk users on Empuls, the administrator is notified of the progress of the upload through the live application progress bar. And after the upload is complete, the user can also see the number of valid and invalid entries.

Why is it important?

Status of the progress informs the user of the time it is going to take for the upload to complete. Later, the data (valid and invalid entries) is displayed to the administrator which makes it easy for them to take the next step - whether or not they want to continue or go back, make changes in the sheet and re-upload.

11. Improved Navigation Panel

Two updates were made on the navigation panel:

  1. Groups on the navigation panel will be sorted as and when there is a new update in any one of them. The groups with new activities will be moved up, right below the Company group (which by default will always be on the top)
  2. The collapse/expand functionality on the features has been refined. Previously, if one feature would expand then the other would automatically collapse. Now, the navigation panel supports multiple expansions.

Why is it important?

  1. Sorting the Groups by the latest notification method will make sure that the user does not miss out on any important update in any of the groups. The most active groups will be on the top.
  2. Multiple expansions make the navigation easier as everything is displayed to the user.

Use Case:

A user has 15 groups. Only 9 are displayed to him/her. Two of the groups that the user is a part of are Marketing and Reading. These are 8th and 12th in the list of all the groups. The user, in the earlier scenario, would not be able to see the update unless he expands to see all the groups.

With the new update, whenever there are activities in the Marketing and Reading groups, they will automatically move up, right below the Company group. This way the user can easily notice the activities in these groups.

12. Integration to Help Center

Help Center has been integrated into the mobile version of Empuls (both Android and IOS). This Help Center icon once clicked, will redirect the employees to Xoxoday support page for any assistance

Why is it important?

The access to the Help Center will allow the users to use the platform better. The users can go to the Help Center and find the assistance they are looking for.

13. HighFive and +1 functionality added in comments

High-Five button: Be it status updates, links shared by colleagues, comments or images, users can go ahead and click on the High Five button to express their liking towards these.

+1 button: If the user comes across an idea or opinion that they are in full support of and want to endorse it, then, +1 button can be used for this purpose.

Why is it important?

Not everyone would want to write a comment even if they like or support a post or comment. Through these functionalities, Empuls has equipped the users with the tools to show their support with just icons.

These two buttons can be now be found below every post or comment.
